Request for Proposals – Bioneers Learning Online Education Technical Producer

Statement of Purpose:
Bioneers is seeking an experienced Online Education Technical Producer contractor to work with us to provide technical support and expertise for our online learning platform, Bioneers Learning.

Bioneers Learning is an online course and connection platform for activists, innovators, and anyone seeking knowledge and tools to manifest solutions for people and planet. Through engaging courses led by some of the world’s foremost movement leaders, systems thinkers and compelling teachers, Bioneers Learning equips active citizens and professionals like you with the knowledge, tools, and networks to inspire your commitment  to real change in your life and community.

Topics and courses are interdisciplinary and practical, focusing on the leading edge of movement building, from Indigenous allyship, the Rights of Nature, and transformative local economics, to the inner work and practices necessary to navigate the traumatic times in which we live. Bioneers Learning encompasses the full range of integrated topics that Bioneers represents. The Technical Producer Contractor will collaborate with the Program Director to:

  • Run both synchronous and asynchronous online courses, seminars and events such as virtual Book Clubs. This will include about 12 synchronous (live) courses/seminars per year and three to four book club events, each meeting once a week and lasting between 90 minutes (minimum) to three hours (maximum), for anywhere between 2 – 10 weeks.
  • Work with both the IT/Media Administrator and Designer to prepare the course pages on Kajabi.
  • Support teaching faculty and students through each live (synchronous) course. 
  • Monitor and support evergreen (asynchronous) courses to support faculty and course attendees. 
  • Post course materials onto course pages as needed by the teaching faculty, both before and after each class. 
  • Manage email communications between teaching faculty and course attendees
  • Monitor the Community Space interactions by course attendees with each other, to ensure a psychologically safe space.

Scope of Work

For Synchronous courses
Platform Technical Support for Instructor and Students

  • Foster and engage virtual classroom
    • Assist the Instructor/facilitator become familiar with all teaching tools at their disposal.
    • Ensure all participants know how to fully participate in the virtual classroom.
    • Provide assistance to learners as they become comfortable and digitally fluent in their learning environment, by providing clear and concise instructions while also encouraging/inviting participants to try engaging with various tools themselves.
    • Have the ability to provide as much technical support as possible, spanning a variety of the most common devices that participants may use. 
    • Knowledge of the possibilities and/or restrictions of different platforms, primarily in Kajabi and Zoom. 

Course host and support

  • Nurture an emotionally and psychologically safe learning environment
    • As the first point of contact, welcome participants as they join the class.
    • Set the tone for the class by facilitating engaging connections.
    • Through the Community portal of Bioneers Learning, where requested, work with class instructors to encourage outside class engagement and connections among participants by posting prompts, etc. and monitoring that toxic/troll behavior doesn’t show up.
  • Actively support instructor during the class
    • Restate instructions given by the instructor in chat or speak up when necessary to reiterate or clarify.
    • Annotate key points on a slide or use the annotation tools to point to specific elements the Facilitator is discussing to help learners focus.
    • Capture whiteboards or chat feeds and distribute them to the learners after class to allow them to revisit the concepts later.
    • Send the following week’s class materials/resources immediately following the end of one class. Using Kajabi’s drip tool, ensure that week to week materials are accessible and available as each class progresses.
    • Post a recording of each class on the course page for participants to rewatch as needed. 
    • Ensure the instructors lighting, microphone, and webcam are optimized
    • Have a deep understanding of Zoom.
      • Ability to schedule a series of webcasts
      • Ensure event is recorded
      • Be able to facilitate breakout sessions
      • Understand screensharing/countdown tools, etc.
  • Course page preparation
    • Collaborate with the Program Director to collect and organize course materials from instructors.
    • Load the Kajabi course page with course materials.
    • Ensure all Zoom links are created and easily accessible on each course page as well as set up scheduled email reminders at a set frequency (1 day before the course and again 1 hour prior to the course).
    • Set-up opening slides with music chosen by the course instructor.
    • Ensure the course instructor receives a reminder, with the course’s Zoom link, to log-in 30 minutes before the class is scheduled to begin.  

For Asynchronous Courses

  • Monitor accessibility and support participants as questions arise.
  • Where requested, work with class instructors to encourage engagement and connections among participants in the Communities tool of Bioneers Learning by posting prompts, etc. and monitoring that toxic/troll behavior doesn’t show up. 

Deliverables

  • Run approximately 12 synchronous (live) courses per year, each meeting once a week and lasting between one and a half hours (minimum) to three hours (maximum), for anywhere between 4 – 10 weeks. Some courses/seminars or events such as book clubs may take place on weekends. 
  • Monitor the asynchronous courses to ensure quality engagement with students taking the courses at their own pace. Support faculty who opt to have “open hours” for these courses.
  • Support teaching faculty through the particular needs of a course by, e.g. researching various techniques by which assignments might be submitted, etc.
  • Where requested, ensure that certificates are distributed at the end of each course. 
  • Where requested, assist faculty with monitoring attendance and for such purposes as Continuing Education Credits, etc. 
  • Administer final evaluation at the end of each course and summarize results.

Contractual Terms and Conditions

Payments, Incentives, and Penalties
Estimated fee of $30 per hour. Once a contractor is selected, a formal contract will be issued, inclusive of relevant terms regarding payment, invoicing, and deliverables.

The contractor may be awarded a professional services contract for the services identified in this RFP.

RFP Timeline

  1. Proposals to be submitted by August 25th.
  2. Committee will review and assess each proposal in August.
  3. Chosen proposals will be contacted via phone by Sept 10, 2025.
  4. Final scope of work and contract finalized in preparation for contractor starting in September, 2025.

Requirements for Proposal Preparation
Kindly submit your proposal based on the following outline:

  1. All Proposals should be submitted electronically in PDF or Word to: Patience Kamau, Bioneers Learning Program Director, patience@bioneers.org and CAO, Nikki Spangenburg at nikki@bioneers.org.
  2. All proposals must include:
    1. A cover letter describing experience and qualifications of the contractor
    2. Estimate of the time and fee required for scope of work. 
    3. Three (3) references from clients/organizations for whom the contractor has performed similar services.

Evaluation and Award Process
Proposals will be evaluated based on the following criteria:

  • Experience
  • Professional track record 
  • Minimum of three references, include contact information
